2018 PARLIAMENT OF THE WORLD’S RELIGIONS

EXHIBITOR ENROLLMENT TERMS

 

TERMS                                DESCRIPTION

Purpose

The primary purpose of the exhibits at the 2018 Parliament of the World's Religions is to develop and encourage interfaith knowledge and to be of value to the attendees. It is expected that all exhibits will be conducted in such a way as to conform to that purpose. The Parliament reserves the right to deny any vendor booth space if the Parliament feels the exhibit material is not in keeping with the objectives of the Parliament.

The Guiding Principles of the 2018 Parliament are: (1) respectful dialogue: we listen and speak with respect (2) non-proselytizing: we do not attempt to convert others or speak derogatorily about any tradition (3) willingness to explore a wide variety of topics: we embody compassion as we engage in difficult conversations

Booth Space

Each standard booth shall be provided with an 8' high backwall drapery and 3' high side rails with drapery. Premium Booths will include a standard furniture package of (1) 6’ table skirted and (2) plastic contour chairs.  Additional furnishings and accessories are the sole responsibility of the exhibitor and must be ordered from the official decorator. An Exhibitor Service Manual will be available on the Exhibitor portal 6 months prior to the opening.

Ownership and Use of Logos and Trademark

Sponsor/Exhibitor agrees it is not authorized or permitted to use the trademarks or logos for the 2018 Parliament of the World’s Religions or PoWR corresponding logo designs. In any and all actions surrounding the Event, Sponsor/Exhibitor agrees that any lawful use of Parliament’s trademarks shall be made solely in plain text and solely in purely factual and accurate statements regarding the cooperation and relationship of Sponsor/Exhibitor’s products with the Parliament.  Under no circumstances will Sponsor/Exhibitor falsely state or imply any affiliation or partnership with the Parliament where no such relationship exists. Parliament will refuse access to the Event (and related materials and promotional activity) to any Sponsor/Exhibitor violating the above requirements. We encourage Sponsor/Exhibitor to use #2018PoWR to promote the event.

Additional Services

Additional services can be ordered through the exhibitor manual from the preferred vendor and additional expenses for these services are the responsibility of the sponsor/exhibitor.

Audio and Video

Audio and Video services can be ordered through the exhibitor manual from the preferred vendor. Exhibits which include the operation of audio and/or video equipment must keep volume levels at a minimum so as not to disturb fellow exhibitors.

Expense Responsibility

Sponsors and/or their representatives agree that any charge incurred that is not covered in your sponsorship/exhibitor package will be the sole responsibility of the exhibitor/sponsor and all bills must be paid prior to departure from the Metro Toronto Convention Centre (MTCC)

Venue

Sponsors/Exhibitors shall not injure or deface the walls of the building, the booths or the equipment in the booths. Any exhibitor breaking this policy will incur all costs to repair or replace items which have been injured or destroyed.

Exhibit Materials

All materials used in displays must be flameproof and meet local fire regulations. All electrical wiring must conform to local codes. The burning of incense, smoking devices, or similar matter is strictly prohibited, no popcorn machines or helium balloons are allowed. All exhibit materials must remain in the exhibit hall; solicitation in public areas outside the exhibit hall or distributed to guest rooms is strictly prohibited. Any persons or group violating this policy will be asked to leave the exhibit. Refunds will not be granted. Banners, signs or graphics cannot be placed on walls or public areas without explicit consent and approval from the Parliament. All product and signs must be kept within the booth space.

Food and Beverage

No food or other perishable items may be kept or sold on the exhibit premises. Smoking or consumption of alcoholic beverages in the exhibit hall is strictly prohibited.

Giveaway Promotional Item Distribution

Please make sure any items distributed at your booth during the conference adhere to the branding and trademark guidelines provided above.  If you are unsure, please contact the Conference Producer salma@parliamentofreligions.org  in advance.

Terms of Cancellation

There will be no refunds, and balance for all space contracted must be paid in full. Unpaid balance is due at the time of cancellation. If because of war, fire, strike, Sponsor/Exhibitor facility construction or renovation project, government regulation, public catastrophe, Act of God, or the public enemy or other cause beyond the control of the Parliament, the event or any part thereof is prevented from being held, is canceled by the Parliament or, the event location becomes unavailable, the Parliament shall have no liability to the Sponsor/Exhibitor.

Publicity

Sponsors/Exhibitors will not issue any press release regarding any of the terms and conditions without the express prior written consent of the Parliament of World’s Religions.

Liability and Security

Each sponsor/exhibitor must take provisions for the safeguarding of its goods, materials, and equipment at all times. This area will have security overnight, but we advise you to take personal items and laptops. The Parliament of World’s Religions are not responsible for any lost or damaged items left unattended.

Applicable Laws and Approvals

Sponsor/Exhibitor shall abide by and observe all laws, rules regulations and ordinances of any applicable government authority and all rules of the Metro Toronto Convention Center. The Parliament reserves the right to approve all prospective exhibitors and sponsorships. The Parliament does not guarantee specific volumes or levels of attendance. Sponsors/exhibitors shall not be entitled to any refund, in full or in part based on attendance level(s). Sponsor/Exhibitors agree to receive Parliament's newsletters and emails containing updates and promotional material regarding the 2018 Parliament of the World's Religions. To withdraw consent, please select unsubscribe in the email  or contact the Parliament directly.

Representations

Sponsors/Exhibitors and the Parliament will each warrant and represent that (i) their execution and performance of these terms or any resulting agreement does not violate, conflict with, or result in a material default under any other contract or agreement to which it is a party, or by which it is bound; (ii) it has the right and authority to enter into this agreement; and (iii) it will comply with all applicable laws, rules and regulations.

Disclaimer of Liability; Insurance

A. THE PARLIAMENT AND ITS OFFICERS, AGENTS, EMPLOYEES OR OTHER REPRESENTATIVES SHALL NOT BE HELD LIABLE FOR, AND THEY ARE HEREBY RELEASED FROM LIABILITY FOR, ANY DAMAGE, LOSS, HARM OR INJURY TO THE PERSON OR PROPERTY OF THE SPONSOR/EXHIBITOR OR ANY OF ITS VISITORS, OFFICERS, AGENTS, EMPLOYEES OR OTHER REPRESENTATIVES, RESULTING FROM THEFT, FIRE, WATER OR ACCIDENT OR ANY OTHER CAUSE.

B. IT IS THE RESPONSIBILITY OF THE SPONSOR/EXHIBITOR TO MAINTAIN APPROPRIATE INSURANCE COVERAGE FOR ITS PROPERTY AND LIABILITY.

Additional Terms

Any matters and questions not covered by the Terms and Conditions are subject to the decision of The Parliament. The Parliament may amend these Terms and Conditions at any time. All amendments made shall be equally binding on all parties affected by them, as are the original regulations.
